Adding a Simpro Integration to your Worx Safety Account

This article walks through how to set up the Simpro integration in your Worx Safety account. Using this integration should save a lot of doubling up on data entry, and also ensure the same data is present in both accounts, removing the risk of outdated information.

Requirements:
  1. A Simpro account
  2. The Simpro connection feature enabled in your Worx Safety account (contact us if this is not visible).

Connecting to Simpro:
In Your Simpro Account, you will need to copy a part of the url into the Worx Safety connection screen.

2. In your Worx Safety Account:

i. Select Integrations -> Simpro


ii. Fill out the Simpro Account Url to match your Simpro site url.
iii. Click 'Log In to Simpro'
It will take to you a Simpro login, and then a confirmation screen.


iv. Select Company
Select the Simpro company you wish to link to this Worx Safety account.
There may be more than one Company in your Simpro account.


Select... and Connect.
Once the connection is made, you can access the controls via 'Manage Company' from the Integrations -> Simpro menu.
At this point you should use ‘Sites’ to configure the links between your Simpro Jobs and Worx Safety sites. See ‘Connecting Jobs’ below:

Management Options:

Once connected, you will have access to the API management dashboard:

The Menu at the top shows the synchronisation setting currently available. Be sure to click the "Update Settings" button after any changes as some data will need to be communicated with Simpro so that Worx Safety is forwarded the appropriate event data where applicable.

 The Tabs at the bottom are:
- Employees: Employees visible in your Simpro account.



  - Contractors: Contractors visible in your Simpro account.


- Sites / (Simpro Jobs):
The sites menu is where you can import existing Job data to populate Sites in Worx Safety.
You can filter your site list from Simpro by searching the list. You can also reduce the list by selecting the status of Jobs in Simpro you'd like to import into Worx Safety.
Clicking to 'Create' the job in Worx will import the Job data and link it to your Simpro Job.
If you already have jobs in Worx and you'd like to connect them to existing Simpro Jobs the use the "Link to Existing" button. 



 - Documents:
The documents menu is for importing documents you might want visible in Worx Safety. This list is limited to any public documents (marked in Simpro).

Connecting Sites:

i. Select the Sites tab

There are two options for connecting sites.

 A. Select existing Worx Sites to link with Simpro Jobs:

Use this option if you have any Sites set up in your Worx Safety account.

 An entry will be listed for each Simpro Job based on your selected parameters.

  1.  Press the "Link to Existing" button.
  2. A menu with all Worx Safety sites will appear.
  3. Select the corresponding site to connect your Simpro Job to.
  4. You do not have to link all of your Simpro jobs to a Worx Site.

B. Create new Sites for unlinked Simpro Jobs:

  1. Use this option if:
    1. You do not have any sites set up in Worx Safety, but do have jobs set up in Simpro
  2. You do have sites set up in Worx Safety, but none of them match the Simpro Jobs you have yet to link.

You can combine both A and B: Connect any existing Worx Sites together with option A, then use B to handle the rest.

Inviting Contacts:

The Employee and Contractors tabs are provided to allow you to invite contacts to create Worx Safety accounts where necessary.

  1.  Employees will be invited as Worker accounts.
  2. Contractors will be invited as Contractor accounts.


InfoAutomatic Synchronisation:
Once a Site is connected, the following documents will be sent to your corresponding Simpro Job.
  1. SWMS Documents relevant to any linked Jobs
  2. Form Submissions relevant to any linked Jobs
You can toggle these settings on or off using the options sections

Other Settings:

Site Sync
  1. Jobs > 'Automatically create Worx Sites for all Simpro Jobs'  
  2. Turning this setting on will instruct the connection to create a new Worx Site any time a new Simpro Job is created.
  3. This automates Option B. on the Unconnected Sites tab, so should not be activated before completing the initial Unconnected Sites process.

Document Sync

  1. Turning this setting on will instruct the connection to attach any new public documents attached to the corresponding Simpro Job to be available in Worx Safety.


Sending Documents To Simpro Locations


  1. Turning this setting on will give you the ability to select where in Simpro you would like to send PDF form submissions and SWMS documents. This is done at the time of creating the SWMS document or form submission.
  2. At the bottom of the first page of a SWMS document and the bottom of each form will be the ability to select a Simpro location to send the document. This is optional however no document will be sent unless the details are completed.


First select the Simpro record type, this will retrieve all records of this type from Simpro. You can then select the record to send the document to in Simpro. Populating the Simpro records may take some time, depending on the number of records you have active in Simpro. If this problem persists then archive data that is no longer current in Simpro to reduce the loading time.
