Creating and Managing Asset Groups in the Asset Module

We've enhanced the assets module with a new feature: the ability to organise assets into groups.

This allows you to quickly view all assets of a specific type or category at a glance. You can also create location-based groups, like project sites—simply name the group after the site and add all assets used at that location. Here is a video on how to create and edit asset groups:

Objective

To effectively manage asset groups within the Asset Module by adding assets to existing groups or creating new groups.

Key Steps

1. **Accessing Asset Groups**

   - Navigate to the Assets section and locate the menu item called Asset Groups.
   - Click on an existing group to view its details, including the current status of assets and the option to edit.

2. **Adding Assets to a Group**

   - Return to the Groups section and select the group you wish to edit.
   - Use the dropdown menu to select additional assets to add to the group.
   - Click on "Save Changes" to finalise the addition of assets to the group.

3. **Creating a New Group**

   - Click on "Create Asset" to start the process of creating a new group.
   - Provide a name for the new group and choose a color for easy identification.
   - Save the new group and proceed to edit it to add assets.

4. **Editing a Group**

   - After creating a new group or selecting an existing one, click on "Edit" to manage the assets within the group.
   - Choose the assets you want to include in the group by selecting them from the available options.

### Cautionary Notes

- Access to managing asset groups is currently restricted to admin users only.
- If encountering any issues or needing assistance with asset group management, reach out for support.

### Tips for Efficiency


- Ensure to save changes after adding assets to a group to avoid losing any updates.
- Use colours effectively when creating new groups to visually distinguish between different asset groups.
- Regularly review and update asset groups to maintain an organised and efficient system.
