In this video, I walk you through the process of onboarding contractors and managing their site-specific Safe Work Method Statements (SWMS) for high-risk work activities. We start by capturing relevant details during the contractor onboarding, including their safety systems and SWMS. Once a job is won, it's crucial to collect and review the contractors' site-specific SWMS before uploading them to the system. I emphasize the importance of maintaining these documents, as they will be listed for easy access on the contractor's profile. Please ensure that all contractors have their SWMS ready and correctly uploaded for compliance and safety on site.


Contractor Onboarding and Site-Specific SWMS Management

Objective

This SOP outlines the steps for onboarding contractors and managing their site-specific Safe Work Method Statements (SWMS) to ensure compliance and safety during high-risk work activities.

Key Steps

 

1. Contractor Onboarding Process 0:00

  • Begin the contractor onboarding process by capturing relevant details about the contractors.

  • Ensure to include information about the high-risk work they will be completing.

 

2. Reference Safety Systems 0:11

  • During onboarding, ensure contractors reference their safety systems.

  • Capture a Safe Work Method Statement (SWMS) from the contractor relevant to the high-risk work activity.

 

3. Record Contractor Information 0:42

  • After onboarding, all contractor details and SWMS should be recorded in the contractor's profile.

  • Verify that the SWMS is uploaded and accessible in the contractor's documents.

 

4. Setting Up the Site 1:06

  • When a job is won, set up the site within the system.

  • Upload all relevant information and documents related to the site.

 

5. Request Site-Specific SWMS 1:12

  • Contact contractors to request their site-specific SWMS for the high-risk work activities they will perform.

 

6. Review and Upload SWMS 1:29

  • Upon receiving the SWMS, review them for accuracy.

  • If correct, upload the SWMSs as PDFs, including the contractor's name and the specific work activity.

 

7. Maintain SWMS List 1:58

  • Ensure all contractors' SWMS specific to the site are listed in the system.

  • Contractors must sign in to the site and maintain their SWMS

 

8. Capture Site-Specific SWMS 2:09

  • Ideally, capture site-specific SWMS before contractors arrive on site.

  • Add any missing SWMS directly from the site using the system or mobile app.

Cautionary Notes

  • Always verify the accuracy of the SWMS before uploading.

  • Ensure that all contractors are aware of their responsibilities regarding SWMS maintenance.

Tips for Efficiency

  • Use templates for SWMS to streamline the review process.

  • Regularly update the contractor database to ensure all information is current.
