Using the Worx Safety - Zapier Integration

Using the Worx Safety - Zapier Integration

Overview

Worx Safety integrates with Zapier, giving you seamless connectivity to over 6,000 apps and systems without writing any code. This integration allows you to automate workflows between Worx Safety and popular business tools including Microsoft 365 (Teams, OneDrive, SharePoint, Active Directory, Outlook), Google Workspace (Drive, Gmail), Slack, and thousands more.

Getting Started

Step 1: Generate Your API Key

To connect Worx Safety with Zapier, you'll need to generate an API key from your Worx Safety account.

  1. Log in to your Worx Safety admin portal at app.worxsafety.com.au
  2. Navigate to Integrations > API Tokens
  3. Click Create Token
  4. Give your key a descriptive name (e.g., "Zapier Integration")

Then you need to select the permissions that you want to give the API:

Hit save and then copy your API key and store it securely — you won't be able to view it again (it is shown in the green success message).

Note: Only company administrators can generate API keys. If you can't see the Integrations menu item, send through a support ticket and we will update.

Step 2: Connect to Zapier

  1. Log in to your Zapier account (or create one if you haven't already)
  2. Search for "Worx Safety" in the app directory
  3. Click Connect and enter your API key when prompted
  4. Test your connection to confirm it's working

Step 3: Create Your First Zap

Once connected, you can start building automated workflows (called "Zaps") that trigger actions between Worx Safety and your other business applications.

Use Cases for Construction and Trades Businesses

Document Storage and Backup

Automatically save safety documents to your cloud drive

When a SWMS, inspection certificate, or risk assessment is completed in Worx Safety, automatically save a copy to your OneDrive, SharePoint, or Google Drive folder. This ensures all compliance documentation is backed up and accessible to your team.

Example Zap: New SWMS Approved in Worx Safety → Upload PDF to SharePoint "Safety Documents" folder

Team Notifications

Keep supervisors informed in real-time

Send automatic notifications to Microsoft Teams or Slack channels when important safety events occur, such as completed inductions, incident reports, or expiring licences.

Example Zap: New Incident Report in Worx Safety → Post Message to #safety-alerts Slack Channel

Email Automation

Distribute safety documentation automatically

When employees or contractors complete their inductions, automatically email their certificates to site managers, HR, or the workers themselves via Outlook or Gmail.

Example Zap: Induction Completed in Worx Safety → Send Email via Gmail with Certificate Attached

Licence and Insurance Expiry Alerts

Never miss a renewal deadline

When a contractor's licence or insurance is approaching expiry, automatically create tasks in your project management tool (Asana, Trello, Monday.com) or send calendar reminders.

Example Zap: Licence Expiring in 30 Days → Create Task in Asana for Admin Team

CRM and Job Management Integration

Sync contractor data with your business systems

When new contractors are added to Worx Safety, automatically create or update their records in your CRM or job management software like Simpro, ServiceM8, or HubSpot.

Example Zap: New Contractor Added in Worx Safety → Create Contact in HubSpot CRM

Spreadsheet Reporting

Build compliance dashboards automatically

Export completed induction data, site check-ins, or SWMS approvals to Google Sheets or Excel for reporting and analysis.

Example Zap: Weekly → Export All Completed Inductions to Google Sheets

Onboarding Workflows

Streamline new starter processes

When a new employee is added to your HR system (such as Employment Hero or KeyPay), automatically invite them to complete their Worx Safety induction.

Example Zap: New Employee in Employment Hero → Send Induction Invite in Worx Safety

Tips for Getting the Most from Your Integration

  • Start simple: Begin with one or two Zaps and expand as you become comfortable
  • Use filters: Zapier allows you to add conditions so Zaps only run when specific criteria are met
  • Test thoroughly: Always test your Zaps with sample data before going live
  • Monitor your Zaps: Check your Zapier dashboard periodically to ensure your automations are running smoothly
